Who needs to complete a report?
Students
- Students who have a status of "enrolled" as at 1 July of the reporting year.
- Students who are currently on Leave of Absence and/or have been on Leave of Absence for the majority of the reporting period. (The report, including a timeline of work yet to be completed, is an indicator of intent to continue enrolment in the next year.) Note: Students who are currently on Leave of Absence will have a status of "leave of absence" rather than a status of "enrolled".
Note: Students will be required to confirm some information using eStudent which is accessible through OASIS.
Supervisors
- Supervisors of higher degree by research students (including Interim Supervisors). However, in some cases, for example when a Supervisor is on leave, an Associate Supervisor or Co-Supervisor may complete the report instead.
Who does not need to complete a report?
- Students who do not have a status of "enrolled" as at 1 July of the reporting year. Note: Students who have a status of "leave of absence" must submit a report as stated under the "Who needs to complete a report?" section.
- Students who have submitted their thesis to the Thesis Examinations Officer in the Office of Research and Development on or prior to 31 August of the reporting year.
- Students who have officially notified the University of their complete withdrawal from their course on or prior to 31 August of the reporting year.
- Associate Supervisors and Co-Supervisors of higher degree by research students (including Interim Associate/Co-Supervisors). However, in some cases, for example when a Supervisor is on leave, an Associate Supervisor or Co-Supervisor may complete the report instead.
What to do before completing a report
- Students should meet with their Supervisor (or alternate member of their Thesis Committee if the Supervisor is not available) to discuss their progress and completion of their report. Download the List of points to guide the Students pre-APR discussion with the Supervisor (.pdf).
Note: If you are unable to communicate with your supervisor or other member of your thesis committee before the due date, indicate the reason in your report at Question 13. - Supervisors should meet with their higher degree by research student/s prior to submitting their report/s. Download the List of points to guide the Supervisor's pre-APR discussion with the Student (.pdf).
- Associate Supervisors and Co-Supervisors (including Interim Associate/Co-Supervisors) may have to meet with their higher degree by research student/s if they are completing a report on behalf of a Supervisor who is on leave. If so, download the List of points to guide the Supervisor's pre-APR discussion with the Student (.pdf).
What happens if you do not complete a report?
- Students who do not submit their Annual Progress Report by the closing date of the reporting period will have their enrolment withdrawn and their status changed to Absent Without Leave (AWOL). The Faculty Graduate Studies Committee may recommend to the University Graduate Studies Committee that the enrolment of students who are Absent Without Leave for over six months be terminated (see Section 9 (d) and 16(a)(iv) of the Rules).
- Supervisors who do not submit an Annual Report for their student by the closing date of the reporting period will cause their student's enrolment status for the next year, allocated at the Higher Degree by Research Review Board meeting, to remain as "pending".
